Project Scope:

To organize and manage the November 2014 Kgotha Kgothe event taking place on Saturday the 15th of November 2014. Furthermore to provide a platform where Morafe can ask questions related to the annual report. It is also an opportunity for Kgosi to reflect on the goals, achievements and challenges faced in the past year. Resolutions will also be taken and the RBN financial statements will be presented to Morafe.  The event needs to be coordinated in a proper manner to ensure that Morafe is fed lunch, the venue is prepared to fit 2000 people with quality audio and visual equipment. The Event is to be advertised through newspapers, radio, billboards, posters and flyers.

In Scope:

  • Establish the committee with dedicated project managers;
  • A venue big enough for potentially 3000 participants and one 3x2m exhibitor gazebo;
  • Auditorium's stage for presentations (Annual Report presenter, Master of Ceremony, Kgosi and protocol. Mmemogolo and Executive managers);
  • An effective sound system to communicate to 3000 people, broadcast on 2 big screens in auditorium, PA systems and nine plasma screens for the tent;
  • Tents with a carrying capacity to cater for 2000 adults;
  • Gazebos will be placed for exhibition auditorium quart yard;
  • 100 Volunteers to assist with selected event proceedings (a stipend of R200 each);
  • Marketing of the event through print media, billboards and radio to disseminate information;
  • Transport for every village;
  • Financial Audit report
  • Catering (Lunch) for 2500 adults;
  • Bottled water and one drink lunch per person (3000 people);
  • Volunteers to collect waste;
  • Local entertainers to entertain the community within and after the event;
  • Security monitored and maintained during event;
  • Registration of all attendees;
  • Communication's photographer and video broadcasting;
  • Emergency Services available for minor and major emergencies;
  • Acknowledge protocol; and 
  • Sign language interpreters.
